What are CAIPS or GCMS notes?
CAIPS is short for Computer Assisted Immigration Processing System.
It is the computer system historically used by IRCC to process visa applications, and holds all the information on the current status of every type of immigration application being processed by overseas offices.
IRCC has since switched to GCMS – Global Case Management System
It has functionality of CAIPS notes but more efficient. This system contains a detailed record of each applicant’s file, including correspondence from and to IRCC, documents received from the applicant, detailed notes from the officers reviewing the file.
When to order CAIPS/ GCMS?

These notes can be ordered by a Canadian Citizen or Permanent resident only, under Access to Information Act. Requester must have a signed consent form from the applicant.

IRCC gives 2 options when ordering CAIPS/ GCMS notes –
a) ordering the notes / comments / remarks of case processing officer on your application,
or
b) you are looking for a copy of your whole application kit along with the supporting documents that were submitted to immigration for processing.
Option b) comes handy when you have not saved a copy of your application after submission or you were not provided one by your consultant and you want be sure about what information or supporting documents were sent. Note– in option b) you will NOT receive the notes / comments / remarks of immigration officer. You will ONLY receive whatever was submitted from client end to the visa office.
